Credit Transfer and Recognition (Transcript of Records)

Verification of your Transcript of Records (ToR)

Because the TKU program is decoupled from the BN database, the final allocation of courses to modules takes place only when your Transcript of Records (ToR) is prepared—i.e., at the end of your studies, before registering your BA thesis. Students complete their ToR themselves; the ToR officer then checks it for accuracy and completeness. 

Please email the following documents to tku@hhu.de:

  • Your completed ToR as a .docx file
  • Your current grade overview (Leistungsübersicht) from the student portal as a PDF
  • A PDF overview of all courses you have successfully attended in all semesters from HIS-LSF (“Meine Veranstaltungen”)

It is strongly recommended that you enter all courses into the ToR template provided here on an ongoing basis and have it checked by the ToR officer around the 4th semester. This helps you keep track of which courses/modules you have already completed and which modules or how many credit points you still need.

How do I fill out the ToR?

You must enter all achievements that you wish to have counted toward the BA in Transculturality into the ToR.

First download the ToR template (see links on the right), then enter all completed modules and courses. Each module must be entered in its own table. The module title and the total number of credit points (ECTS) per module must be entered in the blue row. You must also provide the exact course title, course type, and the instructor’s name (surname is sufficient). You can find this information in HIS-LSF. If you need more information on modules, consult the module handbook and the examination regulations (see links on the right).

Once your Transcript is fully completed at the end of your studies, delete all empty tables/rows and ensure uniform font and colour formatting (font: Helvetica Neue).

Note: You may count the TKU tutorial for 2 credit points in the cross‑disciplinary elective area.

Please also complete the “Information for the Examinations Administration” (pages 1–2 of the file). In addition, remember to enter your name, student ID number, and the total number of credit points achieved on the first ToR page (page 3 of the file).

Where do I get my current grade overview (Leistungsübersicht)?

Log in to the student portal with your university ID. Click on “Prüfungsleistungen” on the left and then on “PDF Leistungsübersicht” to download your overview.

How can I obtain a PDF overview of my courses from HIS-LSF?

Log in to HIS-LSF with your university ID. Click on “Meine Veranstaltungen” on the left. The semesters will be listed there. For every semester in which you took TKU courses, expand the list of your courses via “Klicke für mehr oder weniger Informationen.” Once all semesters are expanded, press Ctrl+P. A print window will open. Do not print the file; save it as a PDF. Please follow these instructions when creating the document. Screenshots will not be accepted, as the PDF must be searchable for the examination process.

What happens after the ToR has been checked by the ToR officer?

If your ToR is correctly completed, the only outstanding item is proof that you have passed the Bachelor’s examination before the ToR can be signed by the degree programme coordinator, Dr Oliver Kiechle. After you have successfully passed the Bachelor’s examination, please send us an updated grade overview showing your Bachelor’s thesis including the grade. The fully completed, signed ToR will then be forwarded to the Examinations Office to finalise your degree. Based on experience, the Examinations Office requires a few weeks to several months to send you first a provisional certificate and then the final Bachelor’s certificate by post.

Notice regarding the decoupling of the TKU programme from the BN database:

Simplified registration of academic achievements – no more BN database!

For the Bachelor’s programme in Transculturality, the registration of study achievements (“Beteiligungsnachweise,” BNs) has been simplified and decoupled from the BN database. Your data have been automatically migrated in the system to the 2023 examination regulations; the structure and content of the programme remain unchanged.

(The original data are not deleted. Should you later need access to your old BN data—for example, to prepare the new Transcript—please contact the SPV [Student and Examination Administration].)
As a consequence of this change, only module final examinations and the credit points for the mobility window will be registered in the portal. In addition, with immediate effect, study achievements (“BNs”) will be tracked using a self-compiled Transcript of Records, which can then be forwarded to the Examinations Office to finalise the degree. More information on this can be found above.

Selecting and applying for participation certificates (BNs) is therefore no longer necessary or possible. However, the electronically registered confirmation of participation by instructors on the relevant portals (status “TE” in HIS-LSF) will continue to serve to verify the recorded achievements.

The recognition tool previously used primarily for the post-registration and reassignment of BNs will in future be required only for registering external examination achievements (credits earned abroad or final examinations from a previous programme).
